Checklist for when your research has concluded or you leave a team

At the end of a project phase, or if your project is ending, or if you are leaving a team or DfE, you must:

  • delete any UR personal data that is no longer needed (in files in SharePoint, or in any other software or tools)
  • check that any remaining files in SharePoint containing personal data are stored correctly in a restricted folder in a Workplace library, with the “User Research 2 Years” retention label applied
  • ensure the files are well organised, clearly named and easy to find
  • (if you are leaving DfE) at least one other person has content manager access to the restricted folder.
  • have a plan to delete any remaining personal data stored in other software and online tools (e.g. Outlook, MS Forms, Teams, any other 3rd party software or tool) will be manually deleted within the retention period (by you, or by someone else in DfE)
